
Leonardo Hotels has rolled out Proposales across all of its Central European properties, following a pilot programme that delivered compelling results.
The numbers tell the story. Processing time dropped by around 50 percent, booking rates climbed by 12 percent, and a meetings and events team of 90 people managing up to 800 enquiries per day finally had the breathing room to focus on what they do best: looking after clients.
Before Proposales, producing a quote meant pulling together room availability, conferencing packages, pricing and cancellation terms into multi-page documents, one by one, for every enquiry. For a hotel group hosting around 26,000 events per year across nearly 500 conference rooms, that manual workload added up fast.
The platform replaced that process with a standardised, cloud-based proposal workflow. All relevant content sits in one place, presented in a consistent format and brought to life with images and video that give prospective clients a real feel for the spaces on offer. Proposals go out faster, look sharper, and are far easier to compare and act on.

For a hotel group where direct bookings account for over 80 percent of business, that shift in how time is spent matters enormously. Integrated reporting across employee, hotel and regional level also brings new visibility to the sales process, tracking response times, offer volumes and reasons for rejection so that performance can be managed proactively rather than reviewed in hindsight.
The pilot ran across hotels in Augsburg, Nuremberg, Ulm and Mannheim before a full company-wide rollout at the start of 2026. The Benelux Business Unit had already been using Proposales since 2022.
Next on the roadmap is a direct integration with Leonardo Hotels' Optima Events system, enabling automatic data transfer and removing further manual steps from the process.
